Business Administration Apprentice

Your Duties

  • Be the first point of contact on reception
  • Answer telephone and take/relay messages as appropriate
  • Receive and respond to emails as appropriate
  • General admin duties
  • Meet and greet visitors
  • Maintain filing system
  • Book meetings/meeting rooms
  • Take minutes at team meetings
  • Organise refreshments for visitors/staff as required
  • Organise office and staff events (team lunches, Christmas party etc)
  • Buy weekly office provisions and keep supplies stocked
  • Oversee printer and office equipment and ensure all are well stocked, in working order and assist with any problems
  • Keep client base up to date on Mailchimp
  • Carry out monthly checks, edits and reports on Company CRM
  • Update weekly reporting on Hubstaff time tracking
  • PA duties to MD
  • Manage the MD’s diary
  • Compile MD’s expenses
  • Book MD’s attendance at events
  • Send confirmation emails prior to and following MD meetings with clients, suppliers and networking contacts
  • Assist Managing Director and Operations Manager as required

Desired skills

  • Excellent communication skills
  • Knowledge of Gmail, Google Drive and Google Calendar an advantage

Personal qualities

  • Prior office work experience desirable, but not essential
  • Enthusiastic and have an interest in working in a professional agency environment
  • Polite, reliable, committed and punctual attitude
  • Ability to multitask
  • Professional, organised and attention to detail
  • Previous customer service experience desirable
  • Computer literate
  • Smart and well presented
  • Polite and professional telephone manner

Qualifications required

  • 5 GSCEs (Grade A-C or equivalent) including English and Maths
  • First Aid trained (training will be supplied)
